1.Moving Services – What We Will Do

Arrival & Communication

We will make reasonable efforts to arrive within your scheduled booking window. When possible, our crew will contact you before arrival.

If circumstances beyond our reasonable control cause a significant delay, we will make reasonable efforts to notify you and provide an updated arrival time.

Northern weather, airline and marine schedules, road conditions, cargo availability, mechanical issues, and other circumstances outside our reasonable control may affect schedules.

Pre-Move Walk-Through

Before work begins, our crew may conduct a walk-through of the property to confirm the items being moved; identify fragile, oversized, unusually heavy, or high-value items; identify access or safety concerns; discuss items requiring special handling; and review the Bill of Lading or other applicable moving documentation.

Protection Measures

Where appropriate, our crew may use floor runners, moving blankets, wrapping materials, and other protective equipment to help protect your belongings and property.

Transport & Handling

Our crew will move the items identified for transportation from the agreed pickup location to the agreed delivery location.

Where furniture disassembly and reassembly have been arranged in advance, our crew may provide these services as part of your move.

Packing Services

When professional packing has been included in your booking, NMS will use appropriate packing materials and reasonable care when preparing your belongings for transportation.

Items packed by the customer are subject to the coverage limitations contained in this agreement.

2.Customer Responsibilities

Customers are responsible for providing accurate information about their move, including: pickup and delivery addresses; current contact information; the approximate quantity of belongings; additional pickup or delivery stops; stairs, elevators, and access restrictions; heavy or oversized items; fragile and high-value items; and any unusual circumstances that may affect the move.

Unless NMS has been hired to provide packing services, all belongings must be properly packed and ready for transportation when our crew arrives.

Customers are also responsible for: reserving elevators and paying applicable elevator fees; ensuring safe access to the property; clearing snow, ice, and other hazards from entrances and walkways; arranging professional disconnection of gas, water, electrical, or permanently connected appliances; identifying particularly fragile, valuable, or unusual items before loading; and informing NMS in advance of anything requiring special equipment or handling.

Additional work resulting from circumstances that were not disclosed when the move was booked may result in additional charges.

3.Estimates, Pricing & Additional Charges

An estimate is based on the information provided to NMS at the time of booking.

Unless expressly identified as a guaranteed or fixed-price quotation, an estimate is not necessarily the final price.

Actual charges may change when additional time, labour, equipment, packing materials, storage, additional stops, difficult access, oversized items, additional vehicles, or other services are required.

Local moves may be charged according to the hourly rate stated in your quotation or booking confirmation.

Heavy & Oversized Items

Items weighing more than 300 lbs may be subject to a $120 surcharge per item or another amount specified in your quotation.

Customers should disclose heavy and oversized items before moving day whenever reasonably possible.

Additional Trucks or Capacity

If the volume of goods exceeds the capacity anticipated based on the information provided by the customer, additional trips, vehicles, labour, or transportation arrangements may be required.

Additional charges may apply.

Disposal Services

Disposal services must be requested in advance and are subject to availability and additional charges.

4.Deposits, Changes & Cancellations

A $150 deposit per truck may be required to confirm a booking.

Long-distance, inter-community, specialized, or larger moves may require a different deposit.

Unless otherwise agreed in writing: deposits are applied toward the final invoice; deposits are non-refundable; a move may be rescheduled at least five (5) days before the scheduled date, subject to availability and applicable rates; cancellations fewer than five (5) days before the scheduled move may result in forfeiture of the deposit.

If NMS cancels a move and cannot reasonably provide an alternative arrangement, the applicable deposit will be refunded.

5.Payment

Unless credit terms have been approved in advance, payment is due upon completion of the move or as otherwise specified in the customer's quotation or invoice.

Failure to pay amounts owing may result in collection action.

The customer may be responsible for reasonable collection, legal, or administrative costs where permitted by law.

6.Coverage & Protection of Your Belongings

Basic Coverage

Basic valuation coverage is included with your move and provides compensation at $0.60 per pound per item, subject to the terms, limitations, and exclusions contained in this agreement.

There is no deductible for a qualifying claim under this basic coverage.

Compensation under NMS's standard basic coverage is limited to a maximum of $50 per item.

Basic coverage is calculated according to the weight of an item and not according to its original purchase price, replacement cost, sentimental value, or current market value.

High-Value Belongings

Basic moving coverage may be significantly less than the actual value of artwork, electronics, collectibles, furs, antiques, jewelry, and other valuable belongings.

Customers must identify high-value items before the move.

Where additional coverage is requested and available, NMS or its insurance provider may require: a declared value; photographs of the items; an inventory; proof of purchase or value; a professional appraisal; and/or specific packing or crating.

Any additional coverage must be arranged and confirmed before the items are moved.

Home or Tenant Insurance

Your homeowner's, tenant's, or other property insurance provider may offer a moving or transit rider that provides substantially broader protection than standard moving coverage.

NMS strongly recommends contacting your insurance provider before your move, particularly when transporting valuable or irreplaceable belongings.

7.Items With Limited or No Coverage

Unless additional arrangements have been made in writing before the move, standard coverage does not apply to: uncrated or inadequately protected glass; mirrors; picture frames; lamps; china; marble or stone items that are not appropriately packed or crated; pressboard or particleboard furniture, including IKEA-type furniture, where damage results from the inherent weakness of the material; customer-packed items where damage results from inadequate packing; internal mechanical or electronic malfunction where there is no evidence of external physical damage; prohibited or restricted goods; and items moved contrary to a documented warning or recommendation from our crew.

8.Mattress Protection

Mattresses and box springs require appropriate protection during transport. NMS may use mattress bags or other protective coverings.

Customers are encouraged to request mattress protection when booking. Additional charges may apply.

NMS is not responsible for damage to unprotected mattresses or box springs where protection was declined or not requested.

9.Prohibited & Restricted Items

NMS will not knowingly transport prohibited or restricted goods, including: hazardous materials; explosives; flammable liquids or gases; firearms or ammunition (unless properly licensed and declared); controlled substances; perishable food items not properly packaged; live animals; and any items prohibited by applicable law or regulation.

Customers are responsible for ensuring that their belongings comply with applicable laws and regulations.

NMS reserves the right to refuse to transport any item that it reasonably believes may be prohibited, restricted, or unsafe.

10.Liability Limitations

NMS's liability for loss or damage is limited to the coverage described in this agreement.

NMS is not liable for: indirect, consequential, or economic losses; loss of income or business interruption; sentimental or emotional value; damage caused by the customer's own packing; damage resulting from pre-existing conditions; or damage caused by circumstances outside NMS's reasonable control.

Nothing in this agreement limits NMS's liability for gross negligence or intentional misconduct.

11.Storage

Where storage services have been arranged, additional terms and charges may apply.

Items in storage are subject to the coverage limitations described in this agreement unless additional coverage has been arranged.

NMS will make reasonable efforts to provide secure storage but is not responsible for damage caused by circumstances outside its reasonable control, including temperature fluctuations, moisture, or acts of nature.

12.Long-Distance & Inter-Community Moves

Long-distance and inter-community moves within Nunavut and beyond are subject to additional terms, pricing, and logistics considerations.

Schedules for long-distance moves may be affected by airline, marine, or road availability, weather, and other factors outside NMS's reasonable control.

Customers should discuss long-distance move requirements with NMS well in advance of the planned move date.

13.Health, Safety & Weather

The safety of our crew and customers is a priority.

NMS reserves the right to pause or reschedule work when conditions pose a risk to health or safety, including extreme weather, unsafe access, or other hazardous conditions.

Under extreme conditions, our crews may take reasonable health and safety breaks.

Severe weather or unsafe conditions may also require a move to be delayed or rescheduled.

14.Claims for Loss or Damage

Any loss or damage should be reported to Nunavut Moving and Services as soon as reasonably possible after it is discovered.

Customers should retain: photographs of the damaged item; photographs of the packaging; proof of purchase or value, when available; inventory or shipment information; the applicable invoice or work order; and any other documentation reasonably required to investigate the claim.

Customers should not dispose of a damaged item, packaging, box, crate, or other protective material until NMS or the applicable insurance provider confirms that it is no longer required for inspection.

Submission of a claim does not automatically mean that the damage is covered. Claims are reviewed according to the applicable coverage, circumstances of the move, and the terms of this Customer Agreement.

15.Acknowledgement & Acceptance

By booking your move, electronically accepting this agreement, signing a work order or Bill of Lading, or authorizing Nunavut Moving and Services to begin work, you acknowledge that you have had an opportunity to review this Customer Agreement and agree to the applicable terms and conditions.

Your quotation, booking confirmation, Bill of Lading, work order, and any written special arrangements may also form part of your agreement with Nunavut Moving and Services.
